How to Stay NDIS Audit-Ready All Year: Worker and Participant Files

Most providers don't get caught out at audit by the care they deliver - they get caught out by paperwork. Here's how to keep worker and participant files audit-ready every day, not just audit week.

Audit preparation shouldn't be a frantic few weeks of chasing documents. The providers who find audits easiest treat compliance as a routine, not an event. Here's how to set that routine up.

This article is general guidance. Your requirements depend on your registration groups and the NDIS Practice Standards that apply to you. Follow your auditor's and compliance lead's advice.

What to track for workers

For every worker, keep current records and expiry dates for the checks and training your registration and policies require, typically including:

  • NDIS Worker Screening Check for risk-assessed roles
  • Working with Children Check where required
  • First Aid and CPR
  • NDIS Worker Orientation Module and other mandatory training
  • Driver licence, vehicle registration and insurance for workers who transport participants
  • Skills for high-intensity supports where relevant
  • Signed code of conduct and employment documents

What to track for participants

For every participant, keep current versions of the documents that apply, such as:

  • Service agreement
  • Consents, including information sharing
  • Support plan and goals
  • Risk assessments
  • Emergency and disaster management plan
  • Behaviour support plan, where applicable
  • Plan dates and progress reports

A monthly compliance routine

  1. Check expiring worker credentials for the next 60 days and remind workers
  2. Review participant files for missing or overdue documents
  3. Check plan end dates and schedule progress reports early
  4. Review incidents and complaints registers for open items
  5. Record what you checked - this itself is evidence of good governance

Run internal audits

Every few months, sample a handful of worker and participant files the way an auditor would. Note gaps, fix them, and record what you did. Internal audits turn surprises at the real audit into routine fixes.

Automate the reminders

Spreadsheets rely on someone remembering to check them. An NDIS CRM with compliance tracking can:

  • Show every worker's and participant's compliance status at a glance
  • Send reminders to workers before checks expire
  • Flag missing participant documents
  • Remind you before plan end dates and report due dates
  • Pull together evidence when the auditor asks

In the weeks before an audit

  • Confirm your registration groups and which standards apply
  • Run a final internal audit on a sample of files
  • Make sure policies are current and staff know them
  • Prepare a clear list of where evidence lives
  • Brief your team on what to expect

Frequently asked questions

Frequently asked questions

How often should we do internal audits?

Many providers do a light monthly check and a deeper internal audit every few months. Choose a rhythm you can sustain and record it.

What do auditors usually find?

Common issues include expired worker checks, missing or outdated participant documents, late reviews and incomplete records - usually paperwork rather than care.

Can software make us audit-ready?

Software can't make you compliant on its own, but tracking, reminders and organised records make it far easier to stay on top of requirements.

Who should own compliance in a small provider?

Assign a clear owner - often the director or a compliance lead - with support from team leaders, even if it's only part of their role.
